Pipeline - lead-stage tracking for LinkedIn outreach
SocialScalr's Pipeline tab is the CRM layer underneath your outreach. Every LinkedIn lead - whether scraped from a Sales Navigator URL, imported via CSV, or added manually - lives in one of seven stages. Stages auto-advance based on activity. You can drag, filter, bulk-action, and annotate.
The default 7 stages
- New - just added to a campaign, not yet contacted.
- Invited - connection request sent, awaiting response.
- Connected - invite accepted, ready for follow-up sequence.
- Messaged - first follow-up DM sent.
- Replied - lead has responded. Sequence stops automatically.
- Won - manually marked. Used for deal/placement/booking close.
- Lost - manually marked. Used for "not a fit" or rejection.
What auto-advances vs what's manual
Automatic transitions (driven by extension activity): New → Invited (invite sent), Invited → Connected (accept detected), Connected → Messaged (DM sent), any stage → Replied (inbound message detected).
Manual transitions: Replied → Won, Replied → Lost, any stage → any other stage (drag-and-drop override).
Customising stages
The default 7 work for most B2B sales workflows. Other use cases need custom stages. Examples:
- Fundraising: Researching → Connection sent → Intro DM sent → First call booked → First call done → Second meeting → Partner meeting → Term sheet → Closed (won/lost).
- Recruiting agency: Sourced → Reached out → Screened → Submitted to client → Client interview → Offer → Placed → Closed.
- Solo consulting: Researching → Connected → Conversation active → Advisory call booked → Advisory call done → Diagnostic proposal sent → Paid diagnostic → Full engagement.
- Job search: Researching → Connected → Conversation active → Coffee chat done → Referred → Application submitted → Interview booked → Offer.
Up to 12 custom stages per workspace. Stage colors customisable.
Three views of the same data
- Kanban (Pipeline tab): drag-and-drop columns, one per stage. Best for daily triage.
- Table (Contacts tab): sortable, filterable, bulk-actionable. Best for cleanup and CSV export.
- Detail panel: open any lead to see full profile, activity timeline, message history, notes, and reminders.
Saved filter views
Create reusable filter combinations and save them. Common saved views customers build:
- "Hot leads" - stage = Replied, last activity within 7 days
- "Needs follow-up" - stage = Connected, dwell time over 5 days
- "My pipeline" (Agency) - owner = me, stage in [Connected, Messaged, Replied]
- "Stuck deals" - stage = Replied, dwell time over 14 days
- "Q1 cohort" - created_at between Jan 1 - Mar 31
Saved views are per-user. They appear in the left sidebar of the Pipeline and Contacts tabs.
Bulk actions
Select multiple leads with checkboxes (or shift-click for ranges). Available bulk actions:
- Move to stage
- Assign to team member (Agency)
- Add tag
- Add to campaign
- Export selected to CSV
- Pause sequence
- Send broadcast message (manual review per lead before send)
Per-lead detail panel
Click any lead row or kanban card to open the detail panel. Contains:
- Profile snapshot - name, title, company, location, profile photo, LinkedIn URL with deep-link.
- Stage and history - current stage + complete stage transition log with timestamps.
- Activity timeline - every action taken on this lead: invite sent, accept detected, DMs in both directions, profile views, post engagement.
- Message history - full inline DM thread, sortable chronologically.
- Markdown notes - per-lead notes with formatting. Used for capturing what was said on a call, what they want to see next.
- Reminders - set a follow-up reminder for a specific date. Surfaces in your daily "Reminders due today" widget on the dashboard home.
- Custom fields - up to 10 per-lead custom fields (text, number, date, dropdown).
- Tags - free-form labels for ad-hoc grouping.
Real-time updates
The Pipeline view is wired to Supabase Realtime - new activity from the extension appears in the dashboard within 1-2 seconds without a page refresh. If your sales partner accepts a connection while you have the Pipeline open, you'll see the card move from Invited to Connected live.
Pipeline data export
CSV export of any filtered view from the Contacts tab. Field selector lets you choose which columns to include. Used for sharing with non-SocialScalr users (clients, advisors, accountants) or for archival.

How to get value from Pipeline on day 1
- Import your existing prospect list via CSV (or scrape a Sales Nav URL into a campaign).
- Pick the right default stage set (default 7 for B2B sales, custom for other workflows).
- Set up 2-3 saved views for your daily triage.
- Configure reminders on warm leads so they don't fall through cracks.
- Use markdown notes on every meaningful conversation - your future self will thank you.
